Mailed entry vs. online (Philo specific & general)

Reduce time and money = lower entry fee

Whatever we can do to reduce the amount of work it takes to put together an event the better. And less expensive.

The current NEHA mailing list has 202 people. Of those folks, 30 are deemed 'inactive' based on our rules. An additional 118 have e-mail addresses in the database (I e-mailed ALL of them the other night to notify them of Philo). This leaves 55 people. Going down this list, I see a lot of names that haven't been around in a long time; John Buffum, Loring Hall, etc. Others I know they are online (forums, etc.) but an e-mail address isn't present so I know they have access to this information.

List is down to 40. Who on this list is NOT hillclimbing with us anymore, or has access to the forums and is quite aware of the event and can download the form, or are not planning on driving at Philo?
Based on this list, I will send an entry to Jimi and Jerry. Anyone else?

This ends the Philo specific discussion.... let's talk about the events in general.

It seems to me that we need to get away from the mailing list and move towards one of the two:
(1) Download your entry based on the schedule and mail in your check by the deadline
(2) Register online (i.e. MotorsportsReg.com) based on the schedule.

The SCCV has been using MotorsportReg.com all summer for both the autocrosses and hillclimbs. There is a small fee to go this route, but people are able to pay with credit cards. They can also mail in a check if they prefer not to, or are not able to, pay online.

What about a 2010 season of zero mailed entries and 1. download and mail or 2. online registration/payment? (or other options)

ALL the track events that I go to have the online registration and payment function.

Thoughts?

Email entries for next year is a great idea as far as I'm concerned.

Perhaps we just need to give people an opportunity to opt-in to snail mail. With the SCCV with did this years ago (we don't have anyone that did) wherein the membership form gave the person an opportunity to opt-in to snail mailed newsletters. We don't produce paper newsletter anymore (just the online version).

I will mark the people above "deleted" or "mail" based on folks input here. On Monday, I will mail entries to those indicated.
